Migrate to Google Workspace in Malaysia

Move your mailboxes, contacts, and calendars to Google Workspace without losing a single email, and without doing the work yourself.

Updated September 2026

Switching email systems is the top reason Malaysian businesses delay a move to Google Workspace. They worry about lost mail, confused staff, and a broken inbox on a Monday morning. Office Niaga removes that risk. We plan and run the migration for you, from your current system into Google Workspace, and we keep your business running while we do it.

What we migrate

We move the parts of your current email system that your business depends on every day.

  • Mailboxes and email history, including folders and attachments
  • Contacts and shared address books
  • Calendars, including existing events and invites
  • Files and shared drives, where your current platform supports export

We keep the structure your staff already know. Folders stay organised, calendar invites stay linked to the right people, and contacts carry across so nobody has to rebuild an address book from memory.

Sources we migrate from

We have moved businesses onto Google Workspace from a range of Malaysian and international hosting setups.

cPanel and Webmail

Standard IMAP-based hosting, the most common setup for Malaysian SMEs on shared or reseller hosting.

Microsoft 365 and Exchange

Cloud Microsoft 365 mailboxes or an on-premise Exchange server, including calendars and contacts.

Zimbra

Self-hosted or provider-hosted Zimbra collaboration suites, a common choice for older Malaysian setups.

Other hosts

Any other IMAP-capable mail platform. Tell us what you run today and we will confirm the migration path.

How the migration works

We run every migration through the same five steps, so the process stays predictable from the first call to the final cutover.

  1. Audit. We review your current mail system, mailbox count, and data volume, and confirm what needs to move.
  2. Provision. We set up your new Google Workspace accounts and mailboxes, matched to your current users.
  3. Migrate. We copy mail, contacts, and calendars into the new mailboxes while your old system stays live.
  4. Cutover. We switch your domain's DNS and MX records to Google Workspace at an agreed time.
  5. Verify. We check mail flow, sending, and receiving on every mailbox before we hand the domain back to you.

Because mail keeps copying into the new mailboxes right up to cutover, your staff see no noticeable downtime. Nobody has to stop working while the migration runs.

No lost mail. We do not switch your domain's MX records until every mailbox has been checked and verified on Google Workspace. Your old system stays as a safety copy until you confirm the move is complete.

Setup done right, not just switched on

A working inbox is not the same as a properly configured domain. We handle the technical setup that most self-serve migrations skip.

  • Domain verification with Google, so your Workspace account is fully trusted
  • DNS and MX records pointed correctly, with no gap in mail delivery
  • SPF, DKIM, and DMARC records, so your outgoing mail is authenticated and less likely to land in spam
  • Core admin console policies, including password rules and basic security settings

Get these wrong and mail bounces, sender authentication fails, or spam filters flag your own staff's email. We set every record correctly before cutover, and we check it again after.

Why not do it yourself

Google gives every Workspace account a self-serve migration tool. It works, but it assumes you have the time and the technical background to run it correctly. A self-serve move puts the DNS changes, the SPF and DKIM setup, and the mailbox mapping in your own hands, with no local support if something goes wrong mid-migration. Office Niaga's team does this work daily, in Bahasa Melayu and English, with one contact from the first call to the final check.

Pricing and billing

Google Workspace is billed in Ringgit Malaysia at Google's list price when you buy through Office Niaga. There is no markup for using a local reseller. You pay by card, FPX online banking, e-wallet, or buy now pay later, and you get a proper Malaysian tax invoice with SST, plus MyInvois e-invoice support for the LHDN e-invoicing rollout. If a full Workspace migration is more than your business needs right now, our standalone SmarterMail option, Office Niaga Mail, gives you professional email on your own domain at a lower entry point. You can migrate to Google Workspace later without changing domain or losing history.

Already on Google Workspace? This guide is for businesses moving to Google Workspace from another system. No mailbox migration is needed for that move.

Straight answers

Frequently asked questions

1How long does a Google Workspace migration take?

Most small and medium teams move over a weekend or during a quiet week. Mailbox size and the number of users decide the timeline. We give you a fixed schedule before we start, so you know the exact cutover date.

2Will my staff lose any email during the move?

No. We copy mail, contacts, and calendars into the new Google Workspace mailboxes before we switch your domain's MX records. Staff keep using their old system until the new one is ready, so nothing goes missing.

3Can you migrate from cPanel or Webmail hosting?

Yes. cPanel and standard Webmail (IMAP-based) mailboxes are one of the most common sources we migrate from. We connect to your current mail server, pull every mailbox across, and set up your domain on Google Workspace.

4What about migrating from Microsoft 365 or Exchange?

We support Microsoft 365 and on-premise Exchange migrations. Mailboxes, contacts, and calendars move across, and we plan the DNS and MX cutover so mail flow does not break during the switch.

5I am already on Google Workspace. Is this the right guide?

No. This guide covers moving to Google Workspace from another system. If your business already runs on Google Workspace and you only want a local reseller and Ringgit billing, read transfer your Google Workspace reseller instead.

6Do you also set up SPF, DKIM, and DMARC?

Yes. We configure SPF, DKIM, and DMARC records as part of the setup, alongside domain verification and the core admin policies. This protects your domain from spoofing and keeps your outgoing mail out of spam folders.
