If your business runs Google Workspace, someone in your accounts team will ask a simple question soon, if they have not asked it already: does this subscription come with a MyInvois e-invoice? For a growing number of Malaysian businesses, the answer needs to be yes.
What is MyInvois?
MyInvois is the national e-invoicing system operated by LHDN (Lembaga Hasil Dalam Negeri), Malaysia's Inland Revenue Board. Under MyInvois, a business submits invoice data to LHDN for validation, either through the MyInvois Portal for one-off entries or automatically through accounting software connected by API for regular volumes.
Once LHDN validates an invoice, it becomes the official record of that transaction. A regular PDF invoice or a plain receipt, however well formatted, does not carry the same standing once a business falls under the mandate.
Who does the mandate affect, and when?
LHDN is rolling out MyInvois in phases, starting with larger businesses by annual revenue and moving down to smaller ones over time. Because the thresholds and target dates are set by LHDN and can be updated, we do not repeat exact dates here. Check your business category and current implementation timeline on the official LHDN MyInvois page.
What matters for planning purposes is this: if your business has not reached its phase yet, it likely will. Getting your supplier relationships e-invoice ready ahead of time avoids a scramble later.
Note. Office Niaga does not set MyInvois phases or thresholds. LHDN owns the mandate and its timeline. We focus on making sure your Google Workspace billing is ready for it, whenever your phase arrives.
Why every subscription matters, not just big-ticket purchases
It is easy to think of e-invoicing as a concern for large capital purchases or big supplier contracts. In practice, MyInvois covers routine business expenses too, and software subscriptions fall squarely in that category. Google Workspace, in particular, is a recurring monthly or annual cost that most businesses need a compliant record for.
That is where a gap opens up for businesses that buy Google Workspace directly from Google.
The gap in Google's direct billing
When a Malaysian business subscribes to Google Workspace straight from Google, checkout runs in USD on a credit card, and Google issues its own receipt for that charge. That receipt serves Google's own records well. It was not designed for the Malaysian tax system.
- It is billed in US Dollars, not Ringgit Malaysia, which complicates your local bookkeeping and currency reporting.
- It does not carry Malaysian SST as a Malaysian tax invoice would.
- It is not submitted to LHDN through MyInvois, so it does not give you a validated e-invoice.
For a business inside its MyInvois phase, that gap means the accounts team has to work around a subscription that does not produce the document LHDN expects. Multiply that by every recurring software tool a business runs, and the administrative load adds up fast.
How buying through an authorised reseller closes the gap
Office Niaga is an authorised Google Workspace reseller in Malaysia, part of Web Impian Sdn. Bhd. (SSM 920163-H, MOF registration 357-0002304403, Bumiputra status), based in Kota Bharu, Kelantan. When you buy Google Workspace through us instead of direct from Google, your billing changes in a way that matters for compliance.
- You pay in Ringgit Malaysia, at Google's list price, so there is no currency conversion to reconcile.
- You receive a proper Malaysian tax invoice with SST applied correctly.
- You receive a MyInvois e-invoice for the same purchase, ready for LHDN's system whenever your business phase requires it.
- You can pay by card, FPX online banking, e-wallet (Touch 'n Go, ShopeePay, GrabPay, Boost Wallet), or BNPL, whichever suits your finance workflow.
Your Google Workspace apps, storage, and admin console stay exactly the same as direct billing. Only the billing relationship and the paperwork behind it change, and it changes for the better. See current plans and what is included on our pricing page, or get a quote for your team size.
Already on Google Workspace? You do not need to start over
If your business already runs Google Workspace, whether billed direct from Google or through another reseller, you do not need to rebuild your setup to get compliant billing. Mailboxes, contacts, calendars, and files stay where they are. We move the billing relationship, not your data, and there is no downtime for your team during the switch. Read the full process in our reseller transfer guide.
For businesses that want a lighter, budget-friendly email option instead of the full Workspace suite, Office Niaga Mail (built on SmarterMail) carries the same Ringgit billing, tax invoice, and MyInvois e-invoice treatment. It is worth comparing both on our comparison section before you decide.
How to get ready for your MyInvois phase
You do not need to wait for your exact phase date to start preparing. A few steps put your business in a stronger position early.
- Check your business category and expected implementation timeline on the official LHDN MyInvois page.
- List your recurring software subscriptions and check which ones currently produce a Malaysian tax invoice.
- For Google Workspace specifically, move billing to an authorised local reseller so every payment already produces a compliant e-invoice.
- Keep your business registration and tax details up to date, since LHDN validation depends on accurate supplier and buyer information.
- Talk to your accountant or company secretary about how MyInvois changes your monthly bookkeeping process.
Office Niaga's local team, in Kota Bharu, Kelantan, supports you in Bahasa Melayu or English, with one contact for billing questions instead of an overseas support queue. Our team has worked in web, email, and cloud services for over 15 years, and MyInvois readiness is now a standard part of how we bill every Google Workspace subscription.
