Office Niaga Mail vs Google Workspace: Pick Your Email

Updated 15 September 2026

Choose Office Niaga Mail if your team needs reliable business email, shared calendars and contacts on your own domain, from RM18 a month for five mailboxes. Choose Google Workspace if you also need Docs, Sheets, Slides, Meet and Drive, from RM350.50 per user a year. Both come with a Ringgit tax invoice and a MyInvois e-invoice.

The difference in one line

Office Niaga Mail is email and organiser tools on your domain. Google Workspace is that same professional email plus a full set of collaboration apps.

If your people mainly send email, keep a calendar, and store some contacts, Mail covers it at a lower cost. If they write documents together, run video meetings, and share files in the cloud every day, Workspace is built for that.

What each one gives you

Office Niaga Mail runs on SmarterMail, a business-grade mail server used by hosting providers worldwide. You get browser webmail, plus IMAP, POP and SMTP, so it works with Outlook, Apple Mail and Thunderbird. It includes shared calendars, contacts and tasks, and mobile sync through ActiveSync, CalDAV and CardDAV. You also get aliases, forwarding, auto-responders, two-factor authentication on webmail, and SPF, DKIM, DMARC and TLS.

We host SmarterMail on our own servers in Malaysia, keep it patched, and pass every message through a mail gateway that filters spam and viruses before it reaches the inbox.

Google Workspace gives you Gmail on your domain, plus calendars and contacts, then adds the apps most teams know: Docs, Sheets and Slides for real-time co-editing, Meet for video calls, and Drive for shared cloud storage. Storage scales up by plan, from 30 GB per user on Business Starter to 2 TB on Business Standard and 5 TB on Business Plus.

When Office Niaga Mail is the right choice

Pick Mail when email is the job and the apps are not. It suits many small firms, trading companies, contractors and family businesses that want a proper address at their own domain without paying per person for tools they will rarely open.

The pricing is per bundle of mailboxes, not per user:

  • 5 mailboxes: RM18/mo (RM194.40/yr, save 10%)
  • 10 mailboxes: RM36/mo (RM388.80/yr)
  • 15 mailboxes: RM54/mo (RM583.20/yr)

If a shared mailbox fills up, you add extra storage in 100, 250 or 500 GB blocks rather than upgrading everyone. See the full details on the Office Niaga Mail page.

When Google Workspace is the right choice

Pick Workspace when your team works inside documents and calls all day. If two people edit the same spreadsheet, if you run client meetings on video, or if you share large files across the company, the collaboration apps and the larger storage are worth the cost.

Workspace is priced per user, per year:

  • Business Starter: RM350.50 (RM175.20 the first year, first 20 users)
  • Business Standard: RM700.80 (RM420.48 the first year, first 20 users)
  • Business Plus: RM1,100.40

We are an authorised reseller, so you pay Google’s list price in Ringgit and get local support in Bahasa Melayu and English, plus done-for-you migration. Compare plans and work out your total on the Workspace pricing page.

You can start with Mail and upgrade later

You are not locked in. Many teams begin on Office Niaga Mail to get professional addresses in place, then move to Google Workspace when they outgrow plain email.

Because the domain stays yours throughout, the upgrade keeps your addresses. Everyone on [email protected] keeps that same address. We migrate your existing mail, calendars and contacts, so the change is planned rather than disruptive. You keep the same billing account and the same local support the whole way. See how we handle a move on the migration page.

Billing, tax invoice and MyInvois

Both products are billed in Ringgit, and both come with a proper Malaysian SST tax invoice and a MyInvois e-invoice for your records. You can pay by card, FPX online banking, e-wallet (Touch ‘n Go, ShopeePay, GrabPay, Boost) or BNPL.

MyInvois is the e-invoicing system run by LHDN, and the rollout is phased by annual revenue over time. Check the official LHDN site at hasil.gov.my or the MyInvois portal for the date that applies to your revenue category. We explain the process further on our MyInvois page.

FAQ

Is Office Niaga Mail cheaper than Google Workspace?

Yes, for most small teams. Mail starts at RM18 a month for five mailboxes, billed per bundle rather than per user. Google Workspace starts at RM350.50 per user a year and adds Docs, Sheets, Slides, Meet and Drive. You pay more for the apps, so the right choice depends on whether your team uses them.

Can I use Outlook with Office Niaga Mail?

Yes. Office Niaga Mail supports IMAP, POP and SMTP, so it connects to Outlook, Apple Mail and Thunderbird. You also get browser webmail and mobile sync through ActiveSync, CalDAV and CardDAV, so your mail, calendar and contacts stay in step across your computer and phone.

Will I keep my email addresses if I upgrade to Workspace?

Yes. The domain stays yours on both products, so every address stays the same when you move. We migrate your existing mail, calendars and contacts, keep your billing account, and give you the same local support before, during and after the change.

Do both come with a proper Malaysian tax invoice?

Yes. Every Office Niaga Mail and Google Workspace order includes a Malaysian SST tax invoice and a MyInvois e-invoice, billed in Ringgit. Check hasil.gov.my for the MyInvois date that applies to your revenue category.
